A tint shop holds more private information than it may first appear: names, contact details, vehicle identifiers, home addresses, payment records and sometimes photographs taken at a customer's property. Most AI drafting tasks do not need any of that. A reminder can be rewritten without a phone number. A job checklist can be improved without an address.
The starting point is simple: share the smallest amount of information that makes the task possible. This guide is an operational checklist, not a declaration that a particular tool is legally compliant. Your obligations and the provider's terms need their own review, especially before connecting a system containing customer records.
Describe the task before opening the record
Ask what you want the tool to do. If the answer is 'make this message friendlier', use a generic version of the message. If it is 'build a vehicle-inspection checklist', start from your approved process. Neither requires an export of completed jobs. The FTC's guide to protecting personal information supports limiting retained information and access to legitimate business needs.
- Usually suitable starting material: generic templates, public product information and fictional examples clearly labelled as examples.
- Review before sharing: internal procedures, non-public pricing, supplier agreements and job details that might identify someone when combined.
- Keep out of casual AI prompts: passwords, API keys, payment-card details, identity documents, customer lists, private messages and identifiable customer photographs.
A practical before-and-after example
Imagine a note containing a customer's full name, phone number, home address, vehicle registration and request to move an appointment. Instead of pasting it, write: 'A customer wants to move a tint appointment. We have not checked availability. Draft a polite acknowledgement that asks for their preferred alternative day and says we will confirm.' The writing task is preserved; the identifying data is not needed.
If a task needs a reference, use a placeholder such as Job A, and keep the mapping in your own approved system. Replacing a name alone is not enough if the remaining details still identify the person. Unusual vehicle details, an exact address or a distinctive private story can undo a superficial redaction.

Check the actual product and settings
Do not assume every service with the same brand name has identical data handling. Read the terms for the exact product, plan and features you intend to use. Check retention, use for model improvement, human access, deletion options and connected services. A training opt-out is not by itself a promise of zero retention or zero access.
For a team, choose an approved route and write down what may be shared through it. Keep individual permissions narrow. Do not connect an inbox, file store or customer system just because an integration button is available. A simple text-drafting task can often remain a simple text-drafting task.
Review what comes back as well
The output can still create problems if it repeats private details, adds an unsupported commitment or gets saved in a public place. Check it, remove anything unnecessary and transfer the approved text into your usual workflow. Add the actual recipient only there. Keep the business record where you normally control access rather than relying on a shared chat history.

Have a route for mistakes
If information is shared accidentally, stop further sharing and tell the person responsible for data handling. Record what went where, review the provider's available controls and follow your incident process. Do not assume deleting a visible chat resolves every copy or every obligation.
Start with the fictional reply examples or quote preparation workflow. Both let you practise a useful skill without uploading a customer file. Better administration should make the business more organised, not create a new collection of private data you have lost track of.
